Common questions about creating events, RSVPs, reminders, and bookings in Grūps App.
Who can create events?
By default, only admins and members with the Manage Calendar Events permission can create events. Admins can open event creation to all members in Group Settings → Features → Calendar.
Can I create a recurring event?
Yes. When creating an event, enable the Repeat option and choose a frequency (daily, weekly, bi-weekly, monthly, or custom). Each occurrence is a separate event instance — you can edit one occurrence or all future occurrences at once.
How do I RSVP to an event?
Open the event and tap Going, Maybe, or Can't go. Your response is visible to admins and, depending on the event's settings, to other members. You can change your RSVP at any time before the event.
What is the difference between an RSVP and a Reservation?
An RSVP is a simple going/maybe/can't-go response on any event. A Reservation is a structured attendance sheet with a capacity limit — the admin sets a maximum number of spots, and members claim them on a first-come, first-served basis. Reservations also support waitlists when full.
Can I set a capacity limit for an event?
Yes. When creating or editing an event, enable the Reservation feature and set a maximum attendee count. Once the limit is reached, new registrations go to a waitlist. If a registered member cancels, the next person on the waitlist is notified.
How do event reminders work?
Members receive push notifications (and optionally email or SMS on supported plans) before an event. Reminder timing is configured per-member in My Group Settings → Events: 15 minutes, 1 hour, 1 day, or 1 week before the event. Admins can also send a manual reminder from the event page.
Can I sync the Grūps App calendar with my device calendar?
Yes. Each group's calendar has an iCal/ICS feed link. Copy the link from the Calendar page (tap the export or subscribe icon) and add it to Google Calendar, Apple Calendar, Outlook, or any app that supports calendar subscriptions. Events sync automatically whenever your calendar app refreshes.
What is Check-In?
Check-In lets admins take attendance at events. When a check-in window is open, members can tap Check In on the event page to record their attendance. Admins can also manually check in members. Attendance reports are available after the event. See Calendar for full details.
What are Bookings?
Bookings let members schedule one-on-one or small-group appointments with admins or designated members. The admin creates a booking type with available time slots, and members pick a slot that works for them. This is useful for coaching sessions, consultations, or any time-blocked appointment. Can I export a list of who is attending an event?
Yes. Admins can view and export the attendance/RSVP list from the event detail page. The export includes member names and their RSVP status. Check-In reports (if check-in was used) can also be exported after the event.
What happens to an event if I cancel it?
Cancelling an event sends a notification to all members who RSVPed. The event is marked as Cancelled in the calendar and is no longer shown in upcoming event lists, but it remains in the calendar history. Deleted events are removed entirely.
Can members see each other's RSVP responses?
This depends on the event's visibility settings, which an admin configures. By default, the going/maybe/can't-go counts are visible to members, but the individual names may be restricted to admins only, depending on the group's privacy settings.
