Files

Share documents, PDFs, images, and any other file with your group — all in one organized place.


Overview

The Files section gives your group a shared document library. Upload any type of file — PDFs, spreadsheets, images, presentations, or archives — and your group members can find, preview, and download them any time.

Plan limits All plans include file storage. Higher plans allow more files and more total storage. Your current usage is shown in the Storage panel at the bottom of the Files page.

Browsing Files

Open Files from your group's navigation. All uploaded files appear in a grid, list, or table, newest first.


View Modes

Use the view toggle in the top-right corner to switch between three layouts:

Filtering & Searching

Search

Type in the search bar to filter files by name. Results update as you type.

Filter by type

Chips below the search bar let you filter to a specific file type — PDF, image, document, spreadsheet, and so on. Each chip shows a count. Tap one to filter the view.

Filter by tag

If files have been tagged (manually or by AI), tag chips also appear. Tap a tag to see all files with that tag.


Uploading Files

Tap the + button in the page header to upload a file. You'll be taken to the Add File screen where you can select a file, set a title, add a description, and choose a folder or tags before saving.

Who can upload? By default, any group member can upload files. Admins can restrict this in the group settings.

Opening & Previewing

In list view, click the file name to open the file's edit page. From there, click the file icon or name in the Preview panel to open the file in a new browser tab.

In grid or table view, tap the file card to open the same edit page.

Tip The Preview panel shows images inline. For PDFs and other documents, clicking opens the file directly in your browser or downloads it.

Editing a File

Click a file's name (list view) or tap its card (grid/table view) to open the file's edit page. From here you can:

File Versions

Depending on your plan, every time you upload a new version of a file, the previous version is saved automatically. You can browse the version history and restore any earlier version at any time.

Uploading a new version

  1. Open the file's edit page (click the file name in the list).
  2. In the File Versions section, tap Upload New Version.
  3. Select the replacement file from your device.
  4. Tap Save. The new file replaces the current version, and the old version is saved to history.
Title and tags are preserved Uploading a new version keeps the file's existing title, description, tags, folder, and pin status. Only the file content changes.

Restoring a previous version

In the File Versions section of the edit page, the version history panel lists every saved version with its upload date. Tap Restore this version on any entry to make it the current version. The file you restore from becomes the active file immediately.


Depending on your plan, you can create a public share link that lets anyone — even people who are not Grūps App members — download a file directly.

Creating a share link

  1. Open the file's edit page.
  2. Tap Create File Share Link.
  3. Optionally set an expiry (1 hour · 1 day · 7 days · 30 days · 1 year), a label, and a password.
  4. Tap Create Link. The link is copied to your clipboard.

Managing share links

The same panel lists all active links for the file, showing how many times each has been viewed, its expiry date, and a Revoke button to disable it immediately.

Password protection Add a password to prevent casual access. The recipient will be prompted to enter it before the download begins. The password is hashed and never stored in plain text.

Deleting Files

To delete a file, open its edit page and tap Delete File at the bottom of the page. You'll be asked to confirm. Deleted files are moved to the Recycle Bin, not permanently removed.

Recycle Bin

Admins can access the Recycle Bin from the Files page menu. Deleted files remain there for 30 days, after which they are permanently removed. During that window, any admin can restore a file to the library.

Who can delete? The member who uploaded a file can delete it. Admins can delete any file.

Pinning Files

Pin important files so they're easy to find. Pinned files appear in the Pinned folder in the sidebar and are marked with a pin icon in the list.

To pin a file: open its edit page and check Pin this file, then tap Save. Uncheck to remove the pin.


Folders

Depending on your plan, files can be organized into folders. A folder sidebar appears on the left side of the Files page.

Navigating folders

Tap any folder in the sidebar to view only the files in that folder. The page title updates to show the current folder. Tap Files at the top to return to all files.

Creating a folder

In the folder sidebar, tap the + icon next to the folder list header. Enter a name and confirm. The new folder appears in the sidebar immediately.

Moving files to a folder

Select one or more files and use Move to Folder from the bulk action bar, or open a file's edit page and choose the folder from the Folder picker before saving.

Renaming or deleting a folder

Long-press or right-click a folder name in the sidebar to see rename and delete options. Deleting a folder does not delete the files inside — they move back to the root.


Bulk Actions

In Table view, or by long-pressing a file (mobile), you can select multiple files at once. A bulk action bar appears at the bottom of the screen with these options:


AI Tagging

Grūps App can automatically suggest tags for files based on their content. For images, AI detects what's in the photo. For documents, it extracts key topics.

To tag files individually, select them and tap AI Tag in the bulk action bar. Tags are suggested and can be accepted or dismissed. Accepted tags appear as filter chips in the Files toolbar.

Tags help you find files faster Once tagged, files can be filtered by tag using the chips in the toolbar — useful when you have dozens of files but need all the "invoices" or all the "event photos" in one click.

AI Document Summary

Depending on your plan, Grūps App can generate a plain-language summary of document content. Supported formats: PDF, DOCX, TXT, Markdown, JPEG, PNG, WebP.

To generate a summary: select one or more files and tap AI Summarize in the bulk action bar. The summary opens in a panel next to the file. It does not replace or modify the original file.


Storage & Limits

The Storage panel at the bottom of the Files page shows:

If your plan has a file limit, the count shows as X / Y. Plans with unlimited storage show "Unlimited."


Frequently Asked Questions

What file types are supported?

There is no restriction on file type. You can upload any file — PDFs, Word documents, images, ZIP archives, videos, audio, and more. The preview feature works for common types (images); other types open in a new browser tab or download directly.

How do I open or preview a file?

Click the file name in list view (or tap the card in grid/table view) to open the edit page. From there, click the file icon or name in the Preview panel to open the file in a new browser tab.

How do I upload a new version of a file?

Open the file's edit page, then tap Upload New Version in the File Versions section. Select the new file, then tap Save. The previous version is saved to history and can be restored at any time. Version history availability may vary by plan.

Can I share a file with someone outside the group?

Availability may vary by plan. Open the file's edit page, tap Create File Share Link, and configure the expiry and optional password. Anyone with the link can download the file — no Grūps App account required. You can revoke the link at any time.

Who can delete files?

The member who uploaded a file can delete it. Admins can delete any file. Deleted files go to the Recycle Bin and can be restored by admins within 30 days.

What happens when I delete a folder?

The folder is removed from the sidebar. Files that were inside the folder are moved back to the root of the Files library — they are not deleted.

Can I upload files directly from chat?

Yes. Use the attachment menu in chat to share a file. Files shared in chat also appear in the Files section under the group's file library.
