Tasks

Assign work to members and track it through to completion.


Overview

Tasks help a group get things done — assign a specific job to a specific member, set a due date, and track status until it's finished. Tasks can stand alone or be organized into task lists.

Tasks vs. Lists Tasks are for assignable, trackable work items with a status and (optionally) an assignee. If you just need a simple shared checklist without assignment or tracking, see Lists instead.

Task lists

Open Tasks from the group's navigation to see three tabs:

From the Task Lists tab, tap Create Task List to start a new list, then add tasks to it. Opening a task list shows just the tasks that belong to it.


Creating a task

  1. Tap "Add Task"
    From the All Tasks tab, a task list's detail view, or the page menu.
  2. Fill in the details
    Give the task a title, and optionally a description, due date, and assignee.
  3. Save
    The task appears in the relevant tab and, if assigned, in that member's My Tasks view.
Who can create and manage tasks? Members with edit permission in the group can create tasks, task lists, and change task settings.

Assigning tasks

Assign a task to any group member when creating or editing it. The assignee's name appears on the task row, and the task shows up in that member's My Tasks tab automatically.


My Tasks

The My Tasks tab shows only the tasks assigned to you across this group, regardless of which task list they belong to — a quick way to see what you're responsible for.


Subtasks and details

Open any task to see its full detail view, where you can add comments, attachments, and subtasks. Subtasks appear nested under their parent task and can be assigned and tracked independently.


Task settings

Admins can open Task Settings from the page menu (⋯) to configure how tasks work for this group.

Task list limits A group's plan may limit how many task lists it can have. If you're near the limit, the Task Lists tab shows a usage count (e.g. "3 of 5 task lists").

Frequently Asked Questions

Can I assign a task to more than one person?

No, a task has a single assignee. For work that multiple people need to track together, consider a shared list instead — see Lists.

What's the difference between a task and a subtask?

A subtask is a smaller step nested under a parent task. It has its own assignee and status, but only appears within its parent task's detail view rather than in the main task tabs.

Does Tasks require a specific plan?

Tasks may not be available on every plan — check your group's plan for details. If it isn't available, you'll see an upgrade prompt when opening the Tasks page.
