Lists

Shared checklists and shopping lists your whole group can work on together — in real time.

What are Lists?

Lists let your group create shared, collaborative checklists. Anyone with access can add items, check things off, and see updates from other members in real time.

Common uses:

Browsing Lists

Open Lists from your group's navigation. All lists are displayed as cards showing the list name, a brief description, and a preview of the first few items.

Each card shows:

Tap any card to open the full list and start working with it.

List Types

When creating a list you can optionally assign it a type. Types help keep lists organized and make them easier to find — once any list in the group has a type, tabs appear at the top of the Lists page so members can filter by type.

TypeBest for
ShoppingGrocery lists, supply runs, anything to buy
To DoTask lists, action items, follow-ups
MiscPacking lists, ideas, anything else
CustomAny label you choose — up to 12 characters

Type selection is optional — leaving it blank creates an untyped list that always appears regardless of which tab is active.

Tabs appear automatically The type tabs only show up once at least one list in the group has a type set. Groups with no typed lists see a single unfiltered view.

Creating a List

  1. Open Lists and tap the Create New List button (or the + icon in the header).
  2. Name your list — e.g. "Weekend Groceries" or "Event Setup Tasks".
  3. Add a description (optional) — a short note about what the list is for.
  4. Choose a type (optional) — Shopping, To Do, Misc, or Custom (enter your own label).
  5. Add your first items — type each item and press Enter or tap Add Item to add more.
  6. Tap Create List.
Who can create lists? By default, any group member can create a list. Admins can restrict this in the group settings.

Using a List

Tap any list card to open the full list view. Inside the list you can:

Check off items

Tap the checkbox next to any item to mark it as done. The item moves to the completed section at the bottom of the list. All members see the change immediately.

Uncheck items

Tap a completed item's checkbox again to move it back to the active section.

Add new items

Tap Add Item at the bottom of the list and type your new entry. It appears at the top of the active items.

Edit an item

Tap any item text (not the checkbox) to open the edit view. Update the text and tap Save, or tap Delete to remove that item entirely.

Real-time collaboration When multiple members have the same list open, check-offs and new items appear for everyone instantly — no refresh needed.

Editing & Deleting

Editing a list

Open the list, tap the edit icon (pencil) in the header, and update the name, description, or type. Tap Save when done.

Deleting a list

Open the list and tap the delete icon (trash) in the header. Deleting a list removes it and all its items permanently. This cannot be undone.

Deletion is permanent Deleted lists and their items cannot be recovered. If you want to keep a record, screenshot the list before deleting.

Sharing

Tap the share icon on a list to post it into a group chat as a card. Members can tap the card to open the list directly. This is useful for letting the group know a new list is ready or calling attention to one that needs to be completed.

Frequently Asked Questions

Can I see who checked off an item?

The list shows item state (checked or not) but does not display who checked each item. For accountability tracking, use the Check-ins feature instead.

Can I reorder items?

New items are added at the top of the active section. Checked items move to the completed section. Manual reordering is not currently available.

What's the difference between a List and a Signup sheet?

Lists are open-ended collaborative checklists — any member can add or check off items. Signups are structured contribution sheets tied to a specific calendar event, where members claim defined slots. Use Lists for ongoing shared tasks; use Signups for coordinating event contributions.

What's the difference between a List and Tasks?

Lists are simple shared checklists anyone can check off — there's no assignment or status tracking. Tasks are assignable work items with a due date, an assignee, and a status that's tracked to completion. Use Lists for open-ended group checklists; use Tasks when you need to assign specific work to specific people.

How many items can a list have?

There is no limit on the number of items per list. Keep in mind that very long lists can be harder to navigate on mobile.

Can I have more than one list open at a time?

You can switch between lists by tapping the back button to return to the Lists overview, then opening a different list. Only one list is shown in the full view at a time.
