Group Settings

Every setting that controls how your group looks, what features are available, who can do what, and what happens to the group over time.


Overview

Open Group Settings from the group menu (or from the Admin Dashboard settings shortcuts). The settings hub shows all available configuration categories as cards, organized into sections.

Cards that aren't included in your current plan are shown with a lock icon. Tap an unlocked card to open that settings section.


Profile

Update the group's public identity at any time.

Tap Save Changes after editing.


Look & Feel

Themes

Choose a pre-built visual theme from a grid of options. Selecting a theme applies it immediately and updates how the group looks for all members.

Custom Colors

Where available on your plan, enable custom colors to replace the theme's default palette with your own:

A live preview shows a button, a secondary button, and a link in your chosen colors. Use Reset to Site Defaults to remove customization.

Custom Icon Settings

Where available on your plan, adjust the icon size, weight, and color mode used throughout the group. A live icon demo updates in real time.

Custom Background

Set a custom background color for the group in light mode and dark mode independently. Depending on your plan, you can also switch between a Solid color and a Gradient background.


Features

Toggle individual features on or off for your group. Changes take effect immediately when saved — a Save Changes button appears when there are unsaved changes.

Disabling a feature hides it, not deletes it When you turn off a feature (e.g., Polls), it disappears from the group navigation and members can no longer access it. The existing data (polls, answers, etc.) is preserved. Re-enabling the feature restores access to all previous content.

The Features page also shows your plan's usage limits for each feature — how many albums, files, events, or other items your plan allows.


Location

The Location settings page shows the group's location policy — the permanent decision made when the group was created — and lets each member manage their personal location sharing preferences for this group.

At the top of the page, a policy badge shows which policy is active (No Location, Check-in Only, or Live Tracking) with a note that it was set at group creation and cannot be changed.

For groups with Check-in Only or Live Tracking policy, members can configure:

For groups with No Location policy, the page shows only the policy badge and a note that location features are disabled.

Member Profiles

Configure what information members fill in on their profile. You can choose from a set of standard fields and create custom fields for your group's specific needs.

For each field you can set:

Custom field types include: text, number, date, select (dropdown), multi-select, tags, URL, email, phone, and long text.

Tap Save Changes to apply. Changes affect the profile form for all members going forward — existing data is not affected.


Roles

Depending on your plan, you can create custom roles that give specific members elevated permissions without making them full admins.

Built-in roles

These roles are always present and cannot be deleted:

Custom roles

Tap Create Role to add a custom role. Give it a name, an optional description, and select the specific permissions it grants. Permissions are organized into groups (content management, member management, etc.).

Custom roles can be copied (to create a similar role with modifications) or deleted. You can have up to 10 custom roles per group.

Assign roles to members from the Members page using the bulk role change action or from an individual member's profile.

Terms & Agreement

Require new members to read and accept your group's rules before they can submit a join request or accept an invitation. This setting is found in Group Settings → Edit Settings.

Group Rules (text)

Write your group's rules and code of conduct in the Group Rules text area. This text is shown on the About page and, when terms acceptance is enabled, displayed in the terms modal that members must agree to before joining.

Where available on your plan, tap Use a Template to open the template picker. Templates are organized into six categories — General, Sports, Church, HOA, Business, and School — with 15+ ready-made examples. Selecting a template fills in the rules text, which you can then edit to fit your group.

Terms Document (PDF)

Depending on your plan, you can upload a PDF as the formal terms document. When a PDF is uploaded, the terms modal shows an embedded PDF viewer with a download link instead of the text rules. Tap Upload PDF to attach a document, Preview to review it, or Remove to revert to text-only mode.

Requiring acceptance

Toggle Require members to accept terms on to enforce the agreement step. The toggle is disabled if no rules text has been written — add your group rules first.

Updating rules re-prompts existing members Every time you save changes to the group rules or replace the PDF, the terms version increments automatically. All members — including those who accepted previously — will be prompted to accept the updated terms on their next visit to the group.

Acceptance audit trail

Every acceptance is recorded with the member's name, the terms version they accepted, and a timestamp. Admins can review this log to confirm which members have accepted the current terms and which have not yet done so.


Content Filter

Automatically screen chat messages, posts, and recognitions for inappropriate language before they reach your members.

Key options:

When the mode is set to Send to Queue (or Also flag replaced content is on), flagged items appear in the Moderation Queue, accessible from the Admin Dashboard's Moderate tab. Admins and moderators can approve or delete each item.

Lifecycle

The Lifecycle settings control the overall state of your group. The current state is shown as a colored badge. Admins can transition the group between states using the dropdown.

Archiving a group

Archiving preserves all group data but disables interactions. Members retain read access. To archive, select Archived from the state dropdown. To restore, change the state back to Active or Dormant.

Deleting a group

Only the group owner can schedule a group for deletion. Tap Schedule Group for Deletion at the bottom of the Lifecycle page. You must enter a reason. The group enters a 7-day grace period — members are notified and all activity stops. To cancel, tap Cancel Deletion before the 7 days expire.

Deletion is permanent After the 7-day grace period, all group data — content, members, files, chat history — is permanently and irrecoverably deleted. Download any data you need before the period expires.

Storage

The Storage settings show how much file storage your group has used. Once storage is initialized, you'll see:

You can configure the soft-limit and hard-limit percentages. Use the Refresh button to reload the current usage data.


Email Branding

Depending on your plan, customize the look of all emails sent from your group — invitations, event reminders, notifications, and more. A live preview updates as you make changes.

Join Requests

The Join Requests settings let you control how new members can get into your group. These are found under Group Settings → General.

Allow join requests

When this toggle is on, non-members who visit your group's page can submit a request to join. They see a Request to Join button on the "not a member" page. If this toggle is off, the option to request access is hidden and only direct invitations from admins work.

Require admin approval

This toggle is only visible when join requests are enabled. It controls what happens when a request comes in:

Pending requests appear in the Members page When admin approval is required, incoming requests are listed in a Join Requests section at the top of the Members page, alongside Pending Invitations. Each request shows the requester's name and any message they included.

Activity & Audit Logs

Activity Log

A chronological record of group activity — posts published, events created, members joined, and similar events. Visible to admins.

Audit Log

A detailed log of admin actions — settings changes, member removals, content deletions, and role assignments. Useful for accountability in larger groups with multiple admins.

Deleted Items

When an admin deletes content (announcements, posts, events, polls, lists, photos, Q&A, or chats), it is moved to the Deleted Items bin rather than immediately erased. Items remain recoverable for 90 days, after which they are permanently purged automatically.

Deleted Items is organized by content type (tabs for each category). For each item you can:

Each item shows an expiry countdown so you know how long it remains recoverable. Use Purge Expired to bulk-remove all items that have already passed the 90-day window.

Content Audit Log

A full action history of every content deletion, restoration, and permanent removal in the group — including who performed the action, when, and the reason provided. Accessible from Group Settings → History → Content Audit Log.

Use the action-type and content-type filters to narrow the log. Tap Export CSV to download the full log — useful for responding to GDPR data requests or internal accountability reviews.


Frequently Asked Questions

Who can access Group Settings?

Only group admins, co-admins, and the group owner can access settings. Regular members do not see the Settings option.

Do settings changes affect members immediately?

Most changes apply immediately after saving. Feature toggles take effect right away — if you disable Chat, it disappears from members' navigation instantly. Look & Feel changes apply to all members' views immediately.

What's the difference between Dormant and Archived?

A Dormant group is still functional — members can use all features, but notifications are reduced. An Archived group is read-only — members can see existing content but cannot post, chat, or interact. Archived is appropriate for groups that have concluded their activities but whose history you want to preserve.

Can I make my group discoverable to people outside it?

Yes. Set the group state to Public (availability may vary by plan). Public groups are open to new members and can be discovered through search. Switch back to Active (private) at any time to stop new members from joining without an invitation.

What's the difference between invitations and join requests?

Invitations are admin-initiated — you choose who to invite. Join requests are member-initiated — someone who already knows about your group (via a shared link or direct URL) asks to join. You can use both at the same time: keep sending invitations to known contacts while also accepting requests from others who find their way to your group page.

Can I see why someone wants to join?

Requesters can include an optional message when they submit their request. This message is shown to admins on the Members page so you have context when deciding whether to approve or reject.
